Clinical and therapy records

In line with BABCP private-practice guidance, we have established a defined retention period for clinical records and regularly review whether records continue to need to be retained.

Clinical and therapy records will normally be retained for 7 years following the end of therapy or the last clinical contact.

This period reflects the need to maintain appropriate clinical records and take account of professional and insurance requirements. BABCP advises private practitioners to establish an appropriate retention period and specifically recommends checking the requirements of their professional indemnity insurer.

Where there is a legal, regulatory, insurance or other legitimate reason to retain information for longer, records may be retained for the additional period required.

At the end of the applicable retention period, information will be securely deleted, destroyed or anonymised where appropriate.


Initial enquiries where therapy does not begin:

If you contact Treaty Therapy but do not proceed to therapy, information relating to your enquiry will normally be retained for 12 months from the date of the last contact.

This allows us to respond to follow-up queries, manage potential complaints and meet reasonable administrative and legal requirements without retaining your information indefinitely.

After 12 months, enquiry information will normally be securely deleted unless there is a legitimate reason to retain it for longer.


Marketing and newsletter information.

If you subscribe to marketing or wellbeing communications, we will retain your contact information while you remain subscribed.

If you unsubscribe, your information will be removed from our active marketing list. We may retain a minimal record of your unsubscribe request where necessary to ensure that we do not send you further marketing communications.


Financial records.

Financial and transaction information will be retained for the period required by applicable tax, accounting, legal and insurance requirements.

We periodically review the information we hold and securely delete or anonymise information when it is no longer required.
